A customer sent me an AI breakdown of what my job "should" cost and wants me to justify my invoice. What do I say?

Answer with your own line items, not a defence. Show labour hours, materials, permits, warranty and overhead as real numbers. An AI estimate is a national average with no site visit, no supplier pricing and no liability. Your quote is a commitment, and that difference is the whole answer.

An AI cost breakdown is an average of averages. It has no idea what your supplier charged you this month, what the permit costs in your municipality, what the access to the job looks like, or that you carry the warranty when it fails in two years. It also carries no liability, which is the part customers never think about until you say it.

The reply that works is not an argument, it is a better breakdown. Show your hours and your rate. Show materials at what they actually cost you this week. Show permits, disposal, travel, and the overhead every real business carries. Most owners keep all of this in their head and it makes the invoice look like a single mysterious number.

Then name the difference plainly: an estimate from a chatbot is a guess with nobody behind it, and your quote is a commitment from someone who will come back if it fails. Customers are not usually trying to underpay. They are trying to understand. A breakdown gives them something to understand.

If you find yourself doing this often, build the breakdown once as a template and reuse it. Owners are burning unpaid hours rebutting chatbot answers one at a time, and it is entirely avoidable.
